The Scientific Program Committee is now accepting abstract submissions for the 79th Annual Meeting of the Canadian Society of Otolaryngology-Head and Neck Surgery, to be held on May 31 - June 2 @ the Fredericton Convention Centre.

Instructions

Online Submission: Submissions for the Scientific Program, E-Poster Display and Poliquin Resident Competition will only be accepted via the online portal.

Confirmation: All submissions will be confirmed automatically by email. If you do not receive a confirmation email your submission was unsuccessful.

Making changes: You may return to the submission portal to update your own content including abstracts, learning objectives and citation details until the deadline of December 15, 2024. You may not make edits after the review process has started or been completed unless otherwise indicated.

In order to be considered for review all submissions must include:

Session Title – as it will appear in the scientific program, this may not be changed after the reviews are completed.

Format & Track Selection – You must select a format (length and delivery) and a track for your submission. The review panel may suggest a change to your track or format, it will be left the submitter’s discretion to accept the suggested change. 

Abstract – Maximum length of 250 words in a structured format including Objective, Method, Results and Conclusion

Co-Authors – It is mandatory to add all co-authors to your submission. You must add all co-authors in the CITATION section in the order and format that will appear on the scientific program. You must also add all co-authors individually in the Author section of the submission portal.

There must be an identifiable staff person from the affiliated department that is:

– A contributor to the work being presented, 

– is registered for the meeting, 

– and will be present during the presentation.

If no staff person is available to meet all three criteria, the paper will not be accepted. 

Length – Workshops are 45 minutes to 1 hour in length.

Accepted Workshops –  You may upload a Powerpoint or Keynote slide presentation to your speaker portal by no later than April 15, 2025. Standard, landscape format. 

Length – Paper sessions are 5 minutes in length followed by a discussion period between every 4-5 papers.  

Declined Papers: If your paper session is not approved for presentation it may be approved for an e-poster format.

Length – Poliquin sessions are 7 minutes in length followed by 3 minutes of discussion.

Eligibility – To qualify for this competition you must be an active resident in a Canadian academic institute. 

Quality of Submission – Please keep in mind that the quality of your manuscript is a factor in the judging of the research award. 

– Your manuscript must meet publication standards to be considered. 

– We strongly suggest that you have your supervisor review your submission to ensure it meets the highest professional standards. For more information click here.

Accepted Submissions – If you are accepted for the Poliquin Competition you must send an electronic copy of the completed manuscript to the Awards Committee Chair, Dr. Jun Lin (RJun.Lin@unityhealth.to)by no later than April 15, 2025.

Declined Submissions – If your research is not selected for consideration in the Poliquin competition you may be asked to present a podium session. 

 

E-Posters are not “presented” and therefore do not have a session time associated with them, they are displayed on screens throughout the venue, available on the website, event app and CSOHNS social channels.

Accepted Posters: If your e-poster submission is accepted you must submit your final poster by April 15, 2025.

Tracks – This term is used to describe the various subspecialty selections. Content will be grouped by subspecialty or Poliquin competition, please select the subspecialty your research fits best within. For Poliquin Submissions: Regardless of the subspecialty or “track” your research falls within, you must select “Poliquin.” 

Please select the “track” that best corresponds to your filed of study and the content of your submission. This year we have introduced two new tracks, “International” and “Personal Development.” International submissions should relate to work and experiences completed outside of Canada. We aim to share the experiences, knowledge gained and accomplishments of our delegates who have worked or completed fellowships outside of Canada. 

All Poliquin submissions should be submitted under the Poliquin track regardless of their subspecialty. The system will automatically select your track if you select Poliquin in the format section. 

New tracks this year:  

French Society Guest Submissions – For submissions by guests attending from the Société Française d’ORL et de Chirurgie de la Face et du Cou 

International – For submissions relating to work, research or training abroad. What can we learn from our international experiences?  

Personal Development – For submissions pertaining to overall health (mental, physical, spiritual, financial, family, relationships), finding balance and general wellbeing.  

All submissions to the program will be reviewed by the Scientific Program Committee in a blind review process.

Do not include any names or affiliations in the body of your abstract, title or learning objectives, if you do, your submission will be disqualified.

Most frequent questions and answers

Do I have to register to speak at the annual meeting?

Yes, with the exception of our guest of honour, lifetime achievement award winner(s) and keynote guest speaker(s) everyone included in the Scientific Program must register and pay to attend the event. This applies to the all members of the executive and council as well. 

How do I submit visual presentation files?

We are working with ENCORE in Fredericton. We will release details on the process for uploading posters and presentation files in January 2025. 

May I edit my submission?

You may edit your submission through the submission portal until the deadline of December 15, 2024. After this date, submissions can not be edited. After the review process titles may not be edited. 

May I submit multiple entries for the scientific program?

Yes. There is no limit to the number of podium sessions, e-posters or workshops you submit. However, you may only enter one research abstract for consideration for the Poliquin Resident’s Competition.
